Project description

Hokies@Home: Documenting COVID-19 at Virginia Tech was created in the Spring of 2020 to collect official content from
Virginia Tech related to the COVID-19 global pandemic and to create a way for people who are part of the Virginia Tech
community to preserve their experiences during the pandemic as part of a publicly accessible collection. Special
Collections and University Archives coordinated with multiple departments within the University Libraries to identify
and actively preserve university communications about the pandemic and to solicit submissions from the community.

What we collect

Hokies@Home is an ongoing collection. We collect university announcements, VT News articles, web content, and other
university publications related to the COVID-19 global pandemic. In addition, we collect submissions from members of the Virginia Tech community about their experiences during the COVID-19 global pandemic.

Share your experience

In an effort to document the extraordinary experiences of members of the Hokie Nation during the COVID-19 global
pandemic, we invite the Virginia Tech Community to submit oral histories, audio recordings, written stories, diary and
journal entries, photographs, videos, art, and other documentation for inclusion in the collection. We want to hear from university employees (faculty, staff, wage), students (prospective, undergraduate, graduate, doctoral), alumni, parents and family of Virginia Tech students, university contractors, and members of local communities (cities and towns) connected to Virginia Tech campuses. We also want to hear from all Virginia Tech locations across Virginia and
internationally.

You can choose your preferred method for documenting your experience. Some options include writing in a journal,
recording voice memos, saving your social media posts, taking photos and/or videos, interviewing friends of family
members, or creating multimedia works. We invite you to submit multiple items and to submit more than once. Please
comply with stay-at-home orders while self-documenting.

Submission process

Please use this form to submit your items. You will be asked to agree to terms granting Special Collections non-exclusive distribution and preservation rights. You will still retain copyright to your work and do not give up the right to submit the work to publishers or other repositories.

If you manage official communications for a Virginia Tech college, unit, department, faculty/staff organization, or
student organization and you want these communications to be included in the collection, please contact us to discuss
transferring these materials to the archives.

Submissions will not be available to the public immediately. They will be made available on this site after they have
been processed by Special Collections and University Archives staff.

Our History

The International Archive of Women in Architecture (IAWA) was established in 1985 as a joint program of the College of Architecture and Urban Studies and the University Libraries at Virginia Tech. The purpose of the Archive is to document the history of women's contributions to the built environment by collecting, preserving, and providing access to the records of women's architectural organizations and the professional papers of women architects, landscape architects, designers, architectural historians and critics, and urban planners.

The IAWA collections have always been open to scholars, students, and public researchers around the world. Historically, this meant traveling to Virginia Tech and visiting the University Libraries’ Special Collections Department to see materials in person. Through this website, today’s researchers also have access to a growing library of digitized documents and visual materials from the IAWA collections. This project was made possible in part by funding from the Council on Library and Information Resources (CLIR) through it's Digitizing Hidden Collections' program.

What We Collect

Today, the IAWA documents the legacies of more than 435 individuals, firms, organizations, and exhibits from the 1890s through the present day. The permanent collections include approximately 2000 cubic feet of documents, photographs and negatives, architectural drawings, sketches, scrapbooks, building models, presentation boards, and other materials that capture the creative process. The IAWA also collects books, biographical information, and other published materials as part of its mission to act as a clearinghouse of information about the global history of women in architecture.

Women who are interested in enhancing the historic record of architecture and related design professions should visit the Special Collections donations page or contact the IAWA Archivist for more information about donating materials to the IAWA.

DIGITAL PRESERVATION

Digital preservation is the series of activities to prepare and manage content for long-term access. Our mission is, to preserve, protect, and provide sustaining access to the cultural and historical heritage of Virginia Tech and the state of Virginia by digitizing, preserving, and providing access to digital assets both from Virginia Tech and from the southwest region of Virginia. This aspect of data curation requires active management involving the normalization of content, ingest of copies stored in geographically different locations with regular fixity checks and file migrations. For detailed information, see our Digital Preservation Policy.

Definitions

Digital Preservation: the series of managed activities necessary to ensure continued access to digital materials for as long as necessary.

SIP: Submission Information Package - the package, consisting of content and metadata, which is submitted to the preservation system by a data donor

AIP: Archival Information Package - the package, containing the manifest, metadata, and content, which is stored long-term

DIP: Distribution Information Package - the package, containing usable master files, from which derivatives are made available to data consumers

Reference Model for an Open Archival Information System: "OAIS is understood to mean any organization or system charged with the task of preserving information over the long term and making it accessible to a specified class of users (known as the Designated Community). The use of the word "open" in OAIS refers to the fact that the model and future recommendations associated with the model are developed in open forums; it does not make any presuppositions concerning the level of accessibility of information in the archive."2

Trusted Digital Repository Model: A repository that maintains "a mission to provide reliable, long-term access to managed digital resources to its designated community, now and into the future." The TDR must include the following seven attributes: compliance with the reference model for an Open Archival Information System (OAIS), administrative responsibility, organizational viability, financial sustainability, technological and procedural suitability, system security, and procedural accountability.

Microservice: a single, granular task that provide a preservation function that we tailor to our content. This is a major component of Archivematica's workflow.

Technologies

At Virginia Tech, we employ several technologies and workflows for preserving our institutional repositories.

Archivematica (https://www.archivematica.org/en/) is a tool that performs preservation functions on our content through microservices. Our content moves through Archivematica microservices, creates the AIP, and deposits the DIP into one of our storage locations.

Academic Preservation Trust (http://aptrust.org/) is one of our storage services. It is a consortium of institutions dedicated to long-term and collaborative digital preservation that is hosted at UVA.

MetaArchive Cooperative (https://metaarchive.org/) is one of our storage services. It is a distributed digital preservation network that is hosted on 15 geographically separated nodes and functions on the LOCKSS system.

VT Archive is University-level and held at the VT Corporate Research Center. This storage is on tape back disks. Content is transferred here directly after being processed by Archivematica.

Archive-It (https://archive-it.org/) is a subscription-based web archiving services from the Internet Archive that we use to web crawl Virginia Tech’s web presence.

Process

Items that are processed by our Digital Imaging team are then transferred to the Preservation Team, and transferred to VT Archive and to one of our external storage services. To reduce possibility of writing over archival files, and to reduce traffic on the Dark Archive's OAI compliant server, access to the preservation environment is limited to authorized personnel. This includes access to our Archivematica dashboard and configuration, APTrust repositories, MetaArchive repository, and web archiving dashboard.

In the event of data loss or corruption in our access files, Digital Preservation Services will be notified and will communicate with the appropriate storage service to retrieve the preserved copy. Finally, content can be retrieved at any time with the appropriate content information.
